Managing your VoiceMail system

First we will ADD your Voice Title and second you are going to ADD your Voice Greeting.  Before I show you how to do this, lets define or explain the difference between Voice Title & Voice Greeting.

Voice Title:  This is used in two places in the voice mail system.  First when a user is transferred to your Voice Mail box, voicemail will say "transferring to" and then the user will hear your Voice Title (for example, Kevin Kelley).  Your Voice Title is also used for the name directory.  If a user who reached Voice Mail presses 9 for Name Directory he/she will enter 3 or more letters of the persons last name they are trying to reach.  So if the user puts in 'kell', the user will hear "for kevin kelley press 2569". The kevin kelley is (voice title). 

Voice Greeting:  This is used in one place in the voice mail system.  Voice Greeting is just your normal answering machine message. When a user is transferred to your voicemail and hears your name (Voice Title) the user will next hear your Voice greeting, if you have one.  Using me as an example, when you get my voice mail you will hear 'Kelley Kelley', the voice title, then their will be a short 1 sec pause, and then you will hear my voice greeting "I am not at my desk......, if you want, you can dial 2569 for ITS staff, etc,etc".

So I would now like everyone to put in a Voice Title and Voice Greeting.  You must do the Voice Title first. Even if you feel its already done, PLEASE DO IT AGAIN or at least go into the Voice Title menu to see if its correct.  I have made some changes with the Management of the software.

Directions:

1. Voice Title:  Pick up your own phone and dial its number.  Obviously its now busy so Voicemail picks up after two rings.  You will hear Theresa's voice,  enter the "#" sign to go to account management.  You now have to enter your voicemail number and password. Press your voicemail extension numbers followed by the # key, then enter your password (its your voicemail extension) followed by # key, Press 6 for account preferences, select 2 for Voice Title, select 1 to record your Voice title (Just record your Name only) AND PRESS THE # KEY QUICKLY AFTER YOU SAY YOUR NAME.  When you press 1 to record your name just say your name, don't say "This is kevin kelley"  This is only for name directory. That's it.

2. Voice Greeting:   Follow the directions above to get into voicemail management system and press 4 for Voice Greeting or if you are still in it, press star key (*) to get back to main menu and then press 4.  Press 4 for Voice Greeting and follow instructions.

FYI: As you enter the AV area I have a list of Voicemail phone numbers, just in case I have not yet told you your number.  Some of you who share a line have a personal voice mail number, for example 7003.

Let me know if you have any problems.  Next I will go over the procedures to transfer a call to Voice Mail mailbox. More than one way to do this depending if you want the user to know the voicemail number.  Remember, this is voicemail only.  All messages go into your Inbox as an Wav file (sound file).  I know it says "

To listen to this message either:

* Pick up your phone and press '#'

* Launch the TeleVantage Client and select Voice Messages

* Double-click on the attached file

YOU CAN ONLY DO THE LAST ITEM ON THE LIST.  WHEN YOU DOUBLE-CLICK IT. YOUR DEFAULT APPLICATION THAT PLAYS SOUND OENS UP.  YOU CANNOT CHECK YOUR VOICEMAIL USING THE PHONE. THAT WILL BE COMING IN YEAR 2000.
