VOICEMAIL TIPS and TRICKS

1.    How do I setup voicemail??

a.     Press the line button for that number, you will hear a dial tone, then dial 39200. ( Loudoun campus only).

b.    You cam also press the messages button while you have a dial tone.

c.     You will be asked to enter your password.

d.    Your initial password is 97531.

e.    Press # after you enter password.

f.       Three steps to complete setup.

                                                              i.      Please enter your name only to “record your name”.

                                                            ii.      Then Record a greeting

                                                          iii.      Then set your password. YOU CANNOT USE YOUR EXTENSION HAS THE PASSWORD.  I would use a password similar to your LAN password so you will not forget it. If it asks you if you want your name in the directory answer yes.

g.    Do all the steps until it has said you have setup your voicemail.

2.    How do I find out what my phone ID is??

a.     Your phone ID is your 5-digit extension.

3.    How do I dial a number??

a.     You can dial a number three ways. Pickup receiver and dial. Dial the number while hook is on receiver, then press softkey ‘dial’. Or, press SPEAKER button, you will hear dial tone, dial number.  Press SPEAKER to hang up.

4.    How do I transfer a call??

a.     Phone call comes in that you need to transfer to another user\office.

b.    Press transfer softkey. (This only displays when you are connected to a call).

c.     Person who called now hears music while you are transferring.

d.    Now enter the 5-digit number you want to transfer call too.

e.    PLEASE wait till it rings at least once. Once you hear it ring, press transfer again, and the call is transferred. YOU DO NOT HAVE TO WAIT TILL PERSON YOU ARE TRANSFERRING TO PICKS UP.

f.       Summary. First transfer is to input number, second transfer actually transfers’ call.

5.    How do I check if I have voicemail from home??

a.     Dial your office number?

b.    After three rings VOIP will pick up.

c.     Press the * key.

d.    You will be asked to enter you “ID” followed by the pound “#” key. Your “ID” is your five (5) digit extension. Your last four digits of your phone number preceded by a “3”. The “3” shows you are from Loudoun Campus.

e.    Don’t forget to press # after you enter your 5 digit extension.

f.       You will be asked to enter your password followed by “#” key.

g.    Then you can listen to your messages.

6.    How do I pick up a phone call on my phone for a shared line that another user has answered on their phone??

a.     Many of the offices have three, four, five, etc,etc phones with multiple common lines on each phone. So if B receives a call from A.  And the call is actually for C.  B can place the call on HOLD by pressing the softkey hold. Go to location of C and tell he/she has a call.  C can then push the line button for the call on hold. The symbol on the phone is a double arrow pointing at each other. B is then disconnected.  A and C should be talking. C could put A back on HOLD and the process could continue.

b.    This is not a transfer issue since you just want someone to pickup this same line on another phone.

c.     I do not believe there are any time outs set.  Meaning, I have kept a call on hold for 15 minutes and it did not disconnect.

d.    Please remember when you place a call on hold the user is listening to “NVCC has the power…” song.

7.    How do I dial a number of a user if I do not know his/her phone number?

a.     Press the “directories” button on your phone.

b.    Number 4 is Campus directory. Press 4 or scroll down to 4 using scroll buttons in middle of your phone.

c.     Now you can enter info in First Name, Last name or number.  You do not have to enter complete information. For example; In first name field, enter ‘kev’ and press soft key search. You should come up with two entries. Kevin Chouinard and Kevin Kelley . Scroll to user you want to call and press dial.

d.    Important to remember those only users that have setup voicemail are listed in the Campus Directory.

8.    How do I forward my number to another phone number in the college?

a.     Call Forwarding is one of the easiest features to setup. Press the CFwdAll softkey. Enter the 5-digit number you want ALL of your calls forwarded to. DONE.  You will see on your display ‘Forwarded to xxxxx’. When you return to the office, just press CFwdAll and Call forwarding is off. Couldn’t be any easier.

b.    You can only forward your extension to another extension in the college.

9.    Why is the phone icon to the right of my extension number continuously showing the phone hook coming off the phone and arrow going to the right, then doing it again, and again??

a.     You have Call Forwarding on.  Press CFwdAll to turn it off.

10. How to have your phone go directly to voicemail??

a.     To manually forward your phone to Unity voicemail, forward your line to 32505.  This is the home extension for the Unity Voicemail system, and, since the call is being forwarded, will bypass any of the normal opening, your phone will not ring, it will go directly to voicemail and will play your personalized greeting immediately.

11. How do I pickup a call ‘on hold’ on another phone with multiple lines ??

  1. When you go to another phone you will see the call on hold and the Display will say “HOLD Resume”. To take the call off hold,  you can press ‘Resume’,  you will be on the speaker phone. After you press ‘Resume’, you can then pick up the receiver and talk. If you pick up the receiver first, you will get a dial tone on first available line.  NOT THE CALL ON HOLD.  The phone feels you want to call out not pick up a call on hold.  That is normal for a phone. If you hear a dial tone, you can press ‘EndCall’, and then press ‘resume” to talk to person on hold.

  2. You may also go to another phone and pick up a call on hold by picking up receiver and pressing line button of call on hold. Or just press line button and you will be on speaker phone.
